Once a workflow is created, manage its settings, runs, and lifecycle from the Workflows Home Screen.
Overview
After your workflow is created, it appears on the Workflows Home Screen, a centralized view of all workflows you have configured. From here, you manage the lifecycle, settings, and performance of each workflow.
Each row on the Workflows Home Screen shows:
- The external application and object type used
- The name of the connected Smartsheet sheet
- The workflow's sync frequency and last run time
- A color-coded last run date and time indicating success, warning, or failure
- The workflow creator (owner)

Managing a workflow
Edit workflow settings. Hover over the workflow name and click to open the workflow editor. You can revise mapped fields, adjust filters, and update sync directionality. Changes apply to future sync cycles.
Some configuration elements lock after the workflow is created. Settings selected in the Data tab — such as the external data object (for example, Invoices, Work Items, or Opportunities) and the structural format (Summary or Detailed) — cannot be modified once the workflow is saved. Downstream mapping, filters, and sync logic are tied to the schema and structure of that dataset. To change these foundational elements, disable or delete the existing workflow and create a new one. Manually run a workflow. Click the play icon to start an on-demand sync. This is useful when testing your initial configuration, applying updates to your sheet, or confirming that field mappings and filters work before moving to a scheduled sync. Manual runs provide immediate feedback and help you diagnose issues in real time. During initial build and testing, compare the results of each manual run with your expected output in both the Smartsheet sheet and the external system to catch data mapping issues early.
Access the connected sheet. The sheet name is hyperlinked. Click it to open the target Smartsheet sheet and view integrated data.
View last run logs. Click the timestamp in the Last Run column to open the log viewer. See Reviewing logs and troubleshooting in Unite for what these logs show and how to use them.
Delete or disable. Use the three-dot More menu to deactivate a workflow (pausing sync activity) or delete it. Deletion is irreversible. Delete only when the integration is no longer required.
